Before You Register
Please review the 2026 Vendor Application before registering. The application includes important participation requirements, vendor policies, deadlines, and the required vendor waiver.

Important Dates & Requirements
- Vendor Application & Logo Deadline: September 21, 2026
- Payment Deadline: September 30, 2026
- Certificate of Insurance Deadline: October 1, 2026
- Setup begins at 8:30 AM
- Vehicles must be out of the staging area by 10:00 AM
- Booths must be completely set up and ready by 10:30 AM
- Vendors must remain set up and staffed for the full event from 11:00 AM–2:00 PM
- Breakdown may begin at 2:15 PM or once the event has officially concluded, whichever is later
Vendors selling goods are responsible for obtaining and maintaining any required retail licenses and permits necessary to sell in Newport, Rhode Island. All vendors must also submit a Certificate of Insurance prior to the event.
If you are bringing your own tent or canopy, you are responsible for bringing, setting up, and securing it. Fort Adams can be windy, so we strongly recommend bringing weights and stakes to help keep your canopy safely secured throughout the event.
Electrical and water hookups are not available. Please plan your booth setup accordingly.
Make Your Booth Your Own
We encourage vendors to make their spaces fun, engaging, and welcoming! Offer an activity, share samples or giveaways, showcase your products, or find another creative way to connect with Heart & Sole attendees.
If you plan to distribute treats for dogs, please always ask the dog’s handler before offering anything to their pet. Dogs may have allergies, dietary restrictions, medical needs, or other reasons they cannot accept treats.
Booth locations are assigned by the Potter League based on the overall event layout. While we’re happy to consider special requests when possible, the Potter League reserves the right to determine all tent and booth placement.
Booth spaces may not be shared with another business or organization without prior approval from Potter League staff.
Help Us Raise a Little More
Interested in adding a little something extra to your participation? Sponsors and vendors are encouraged to donate a raffle item or fundraising prize valued at $25 or more, although it is not required.
Raffle donations help generate additional support for the Potter League and are another great way to showcase your business. Nonprofit organizations are exempt from this request.
If you would like to contribute an item, please let us know on your Vendor Information Form.
After You Register
Please complete and return the required Vendor Information Form along with your logo and any requested materials by September 21, 2026. This helps ensure your organization is properly recognized on event signage, in printed materials, and throughout the Flea-less Marketplace.
