Rope Volunteers
(12) TWELVE ROPE VOLUNTEERS NEEDED
Duties include:
- Watch a 1 hour online video before the event (if first time as Ropes Volunteer)
- Attend a 3-hour training session on Media/VIP day (Saturday, May 20th 1pm-4pm)
- Volunteer all day on event day (Sunday, May 21st 7am-6:30pm)
- Rappel for free!
Specifics:
- Roof – Support Site Safety Supervisor at main rappel area, help to load edgers and coach them over the edge
- Training – Support Training Manager in training all edgers before they go over the edge
- Staging – Support Staging Manager, help get edgers into gear and ready to go on the roof
- Landing Zone - Belay ropes and assist edgers when they finish their rappel

Event Volunteers
REGISTRATION (2 per shift)
DUTIES & RESPONSIBILITIES
Time shifts: 7:30AM – 12:30PM, and 12PM – 5PM
- Use the master schedule to ensure participants are at the correct registration time and check them off as they register
- Have them complete a participant waiver and bring it with them to staging if they have not already done so.
- Provide each participant with a name tag that is clearly visible
- Collect all droppable items from participants including phones, keys, coins, etc.
- People will come late (and early), but do your best to keep them in their designated groups.
- The goal is to move participants through the process efficiently and quickly
- If participants come too early, i.e. more than 45 minutes, ask them to return at their designated registration time
GREETER/FLOATER (2 per shift)
DUTIES & RESPONSIBILITIES
Time shifts: 7:30AM – 12:30PM, and 12PM – 5PM
- Welcome participants and families as they arrive in the hotel lobby from the elevators or street. Direct them to the registration room.
- First impressions are important, and greeters provide that welcoming and friendly first impression for guests. On top of that friendly greeting, greeters may also be responsible for cheering on rapellers, recruiting more rapellers, floating to and from other stations and assisting in the overall success of the event.
CELL PHONE PHOTO TAKER (1 per shift)
DUTIES & RESPONSIBILITIES
Time shifts: 7:30AM – 12:30PM, and 12PM – 5PM
- The Cell Phone Photo Taker is stationed on the roof to let announcer know who is rappelling, when they go over and what rope they are on.
- Organize participants and ensure there is an order to who is next in line.
- Communicate with the Announcer/MC who is going over and who is next as well as be front and center to snap cell phone photos of each rapeller.
- Please bring your cell phone charger! You will be using your own cell phone for this volunteer role.
PROFESSIONAL PHOTOGRAPHER (1 per shift)
DUTIES & RESPONSIBILITIES
Time shifts: 7:30AM – 12:30PM, and 12PM – 5PM

The Professional Photographer is stationed on the roof to snap photos of the rappellers as they go over the edge. These photos will be sent to rappellers after the event is completed. A minimum of one image of each rappeller leaning back and one of them looking up as they rappel.
GUIDE #1: REGISTRATION TO STAGING (1 per shift)
DUTIES & RESPONSIBILITIES
Time shifts: 7:30AM – 12:30PM, and 12PM – 5PM
- Friendly, outgoing, and encouraging volunteers needed in this role.
- Registration to staging; brings groups of 2-6 to the staging area, returns to registration to wait for next group.
- This process repeats until all groups are completed.
14th FLOOR GUARD/BOUNCER (1 per shift)
DUTIES & RESPONSIBILITIES
Time shifts: 7:30AM – 12:30PM, and 12PM – 5PM
- The Floor Guard Volunteer determines who should and should not gain access to the 14th floor staging room. All rapellers, once completed registration, will have a stamp on their hand indicating paperwork is completed and are allowed to access area.
- No family or friends are allowed to access the 14th floor staging room. You will need to turn them away and remind them where they are able to view and watch the rapel.
GEAR RUNNER #1 & GEAR RUNNER #2 (3-5 per shift)
DUTIES & RESPONSIBILITIES
Time shifts: 7:30AM – 12:30PM, and 12PM – 5PM

Gear runners are a crucial part of this event. Once each rapeller has completed their rapel and their gear has been removed, each runner will transport the gear from the landing zone to the staging area for the next group.
GO-PRO MANAGER (1 per shift)
DUTIES & RESPONSIBILITIES
Time shifts: 7:30AM – 12:30PM, and 12PM – 5PM
- The Go-Pro Manager will ensure go-pros are placed on the head mounts on top of the Over The Edge helmets for those who have earned this opportunity. (Fundraised $1,500 or more.) Once the rappeller has completed their rapel, the SD card will be given to the rapeller and the camera returned to the Go-Pro Manager.
- All Go-Pros should be plugged in when not in use! It would be terrible if the camera stops working part-way down the building.
ON-STREET PROMOTIONS OF 2023 (2 per shift)
DUTIES & RESPONSIBILITIES
Time shifts: 7:30AM – 12:30PM, and 12PM – 5PM
- The On-Street promoters will be visible on the sidewalk with signage as directed by the team encouraging onlookers to participate and/or sign up for the following year. This also includes acting much like a cheerleader, calling out lines such as, “DO YOU WANT TO GO OVER THE EDGE?”
LANDING PAD PHOTOS/SD CARD REMOVER (2 per shift)
DUTIES & RESPONSIBILITIES
Time shifts: 7:30AM – 12:30PM, and 12PM – 5PM
- Meet rapellers at ground exclusion zone, steer them towards photo area, and ask them if they loved it so much that they would want to participate next year?
- If rappeller is wearing a Go-Pro, pop out the SD card and provide it to them in a small baggie.
- Gear will be given to Gear Runner. Make sure rapellers are wearing their OTE provided helmet (if inside exclusion zone).
- Take photos of rappellers as they descend. You will be asked to share this with OTE and Gilda's staff. Please bring an external cell phone battery if you have one! You will be using your own cell phone for this volunteer role.
TABLE/RAFFLE VOLUNTEER (1-2 per shift)
DUTIES & RESPONSIBILITIES
Time shifts: 7:30AM – 12:30PM, and 12PM – 5PM
- The volunteers manning the table have a key role at the event. These volunteers greet and answer any questions that may arise regarding the event as well as Gilda’s Club Madison. Further, materials will be available for others to learn more about Gilda’s Club Madison as well as to participate next year.
- The volunteers at this table will also be responsible for collecting entries for the raffle giveaway. The prize to be determined each year.
CROWD CONTROL VOLUNTEERS (1-2 per shift)
DUTIES & RESPONSIBILITIES
Time shifts: 7:30AM – 12:30PM, and 12PM – 5PM
- When the families of participants arrive, we want to ensure that they are in a safe place to watch their rappellers. These volunteers will assertively direct participants to safe places to stand that will not cause traffic to back up in and out of the parking ramp.
