Auction and Raffle Rules and Regulations

By participating you agree to these rules and regulations.

  • The silent auction will open on March 31, 2023. The silent auction items #100 - #199 will close at 7:45pm pm on April 15, 2023 and the silent auction items #200 - #299 will close at 7:55pm pm on April 15, 2023. Silent auction bidding occurs on the Givi mobile bidding site OR on the QGiv event webpage.

  • Raffle baskets will close at 7:50 pm on April 15, 2023.

  • Two special raffles will take place on April 15, 2023 at the event only. These raffles will close when all tickets are sold or 7:30 p.m. whichever comes first.

  • The live auction will occur on April 15, 2023 at the Event. 

  • A pre-registered credit card is required to begin bidding. Payment for all raffle tickets, auction items, outright gifts, or other purchase made during the Event will be completed at the conclusion of the event, where all items may be paid for at one time via the credit card on file for your account.

  • All winning bids are final. There will be no exchange or refund on items unless otherwise specified. Collection and redemption of all prizes is the responsibility of the winner.

  • Crayons to Computers (Crayons) has endeavored to describe the auction items correctly, but all items are sold “as is.” No statements contained on this website or elsewhere shall be deemed a warranty, representation or assumption of liability. Bidders should carefully note the specific restrictions, conditions, and expiration dates for items purchased.

  • Please pay careful attention to all conditions, restrictions, and expiration dates on items and services. Unless otherwise stated, gift certificates exclude alcohol, tax and gratuity. We appreciate your strict observance of these restrictions, as future donations depend upon it.

  • Crayons will not ship alcohol to a winning bidder. You must be at least 21 years old to purchase or enter a raffle for any packages containing alcohol and tours of alcoholic establishments (distillery, brewery, etc.).

  • Crayons is not responsible for replacing gift certificates lost. Crayons is under no obligation to extend, modify or change items or restrictions on items/certificates.

  • Dates for all trips, event tickets or other experience items must be mutually arranged with donor, unless otherwise noted. All reservations should be made at least one month in advance. No refunds are permitted for canceled, lost, or unused tickets and/or accommodations.

  • All completed sales from this event are considered transactions solely between the purchaser and the donor of the auction item.

  • All gift card usage is the responsibility of the buyer. Although the gift card and amount is currently valid, Crayons cannot be held responsible for unused gift cards at businesses that may cease to operate before the expiration date.

  • Auction items may not be transferred from the original buyer to another auction outside of Crayons without prior written consent from the donor.

  • Crayons reserves the right to withdraw any item from sale.

  • Items depicted in the online bidding website are for illustration purposes and may not be actual auction items.

Tax Information

The IRS requires charitable organizations to provide information regarding the deductibility of payments and contributions by attendees of fundraising events. The following guidelines are provided to assist you in your tax preparations:

  • Financial Donations: are tax deductible to the extent of the law.

  • Event Tickets: tickets are not tax deductible as the fair market value of the goods and services you receive with the purchase of the ticket exceeds the price ($75.50/ ticket) of the ticket. 

  • Raffle tickets: a raffle is considered a game of chance and is therefore entertainment. As such, the cost of a raffle ticket is NOT deductible.

  • Split-the-Pot Cash Prize Raffle: a raffle is considered a game of chance and is therefore entertainment. As such, the cost of a raffle ticket is NOT deductible.

  • Sponsorship: the amount of the donation less the fair market value of the goods and services received is the deductible amount.

  • In-kind Donations: If you provide goods to sell at a charity auction, you are entitled to claim a charitable deduction for your tax basis in the contributed property.

  • Auction items won: If you win items at the live or silent auction, you may claim a charitable contribution deduction for the excess of the purchase price paid for an item over its fair market value and must be able to show that you knew the value of the item was less than the amount paid.

Always consult your tax advisor regarding the deductibility of your donations and your specific tax situation.

 

How to Bid 

This year’s auction will use QGiv Online Bidding – allowing for a paperless bidding system. You will bid using your smartphone, computer or tablet on silent auction and raffle items. Also, you can easily track Packages by “following” their activity without having to continuously return to a table or bid sheet.  

How to Mobile Bid with Greater Giving Online Bidding 

  1. Register your email address, mobile number and credit card information on our registration page in advance of the event. 

  1. When the auction is open, you will receive an automated ‘Welcome’ text with your bidder link. 

  1. After clicking the link in the text, begin searching for packages by name or number 

  1. Select the package you wish to bid on. 

  1. You can Bid the next increment or Bid More than the next increment 

  1. If you choose to Bid More you can choose to set your Max Bid. If your max bid is the highest, the system will automatically bid in your favor until you are outbid or until the silent auction closes. If your bid is lower than the highest max bid on that package, you will be prompted to enter a higher bid. 

  1. To "watch" a package, select the star icon on the package. 

  1. To make a donation, select the Donation button on your home screen and choose a preset amount or select the Custom Amount button to enter the amount you wish to donate. 

  1. If you’re out-bid at any point before the silent auction closes, you will receive a text message. 

  1. To view packages you are bidding on, click the menu button and select Bids. 

  1. To view packages you are watching, click the menu button and select Favorites. 

  1. Once the auction closes, the guest with the highest bid will win. 

  1. Under the Bids area you can check your winning packages
