Frequently Asked Questions

Tickets

HOW CAN I BUY TICKETS?
The easiest way is to purchase your tickets online ahead of time. Make sure after purchasing that you set up your auction account so that you are able to bid right away. If we are not sold out on November 17, you may buy tickets in-person at the event.

I CAN’T ATTEND. HOW CAN I PARTICIPATE IN THE AUCTION?
Purchase our “Free Online Access to Silent Auction Only”. Don’t worry! Registration is free, but it will ask for your credit card information. Why? Because in order to bid on items, we need to have a payment method on file. Your credit card will only be charged if you win an auction item that you have bid on, or if you purchase a Fun With Friends ticket.

I CAN’T ATTEND BUT WOULD LIKE TO SUBMIT A DONATION. HOW CAN I DO THIS?
This auction site allows additional monetary donations in the ticket registration process, in the silent auction checkout process, and via the Donate link in the menu bar. Donations go directly to the Willow Glen Education Foundation which is a 501(c)3 organization and any donations made are tax deductible to the extent allowed by law. Learn more about how we use our funding.

HOW CAN I SEND MY FAVORITE TEACHER TO THE TASTING?
Purchasing for a teacher or staff as a gift? Simply buy a ticket on our website and during the purchase process you will be able to assign the ticket to another person. Make sure you contact the teacher to let them know that you’ve done this, just in case their email notification gets accidentally sent to junk mail.

I’M A TEACHER - DO I GET A DISCOUNT?
Absolutely! We would love to see teachers and staff attend our event too. You may purchase the Teacher/Staff ticket at a discounted price.

DO I HAVE TO HAVE STUDENTS AT WGHS OR WGMS TO ATTEND THE TASTING OR PARTICIPATE IN THE AUCTION?
No, the WG Tasting & Auction is open to all members of our community, regardless of whether you have students at our school. Members of the public may bid on silent auction items but those purchasing Fun With Friends tickets need to have a student enrolled in an area school.

I BOUGHT MULTIPLE TICKETS - HOW DO I TRANSFER THEM TO MY FRIENDS?
When you sign in to your account on our event website, you have the option to transfer your tickets to your guests. Do this simply by providing their name and email address. This is important because in order to participate in the silent auction, your guests need their own accounts.

We recommend transferring your tickets BEFORE the event to save time at check-in. This also allows your guests to begin bidding on the silent auction early, since it opens on Monday, November 11 at 5pm.

Silent Auction

WHEN CAN I START BIDDING?
The silent auction opens for bidding on Monday, November 11, 2024 @ 5pm and bidding closes on Sunday, November 17, at 6:00pm. New items may continue to be added to the auction during the week.

WHAT DO I NEED TO DO IN ORDER TO START BIDDING?

  1. You need either an admission ticket or to be registered for Free Online Access to Silent Auction

  2. Make sure you have completed your registration by entering a payment method on file, which is required in order to bid on items. Your credit card will only be charged if you win an auction item that you have bid on, or if you purchase a Fun With Friends ticket.

  3. Download the Givi app for the best bidding experience!

  4. Set your maximum bids and raise money for our kids!

WHERE DO I ACCESS THE SILENT AUCTION?
Visit the Auction menu on our event website OR download the free Givi app for the best bidding experience. When you sign in to the Givi app with your account, you will see our auction.

HOW WILL I BE NOTIFIED DURING THE AUCTION?
You need to enable notification on your account in order for us to notify you of new auction item additions, outbid notifications, when the auction is ending, and how to pick up your items. Please enable text notifications for the most up-t-the-minute notifications. Email notifications are also available. If you are using the GIVI app, you will get in-app notifications when you are outbid, but may not receive other notifications unless you have email or text enabled.

WHEN WILL I KNOW IF I WON?
On Sunday, November 17 at 6:30pm, you will receive a notification letting you know of any items that you have won and beginning the checkout/payment process.

AFTER SUBMITTING PAYMENT, HOW AND WHEN WILL I COLLECT MY AUCTION ITEMS?
If you are at the event, you can visit the auction desk starting at 6:30pm and we will send you home with your item(s).

If you are unable to attend and are doing all of your bidding online using our free online silent auction access, we will contact you after the Tasting event to coordinate pickup of your items.

Fun With Friends

WHAT EXACTLY IS FUN WITH FRIENDS?
The host donates by throwing a themed “party/event”, and guests donate by paying to attend. You don’t have to know the host or the attendees to attend - it’s a fun way to meet new people! But if you want to coordinate with friends and buy tickets to the same event, we encourage that too.

IS EVERYONE ALLOWED TO ATTEND FUN WITH FRIENDS PARTIES?
To purchase a Fun With Friend event spot, you must have a student enrolled at a Willow Glen neighborhood school.

HOW DO I PURCHASE A PARTY SPOT?
All parties are sold via the mobile bidding system. You will need to be registered for the auction to purchase a spot at a party. Unlike the silent auction items, Fun With Friends events are bought rather than bid on so when you click buy now, you have opted to attend that event. Simply by adding it to your cart, your spot has been reserved. You can choose to pay for your entrance fee at any time by clicking checkout, or you can wait and pay when the silent auction closes on November 17 at 6pm, along with any silent auction items you may have purchased. Either way, rest assured that your spot is reserved.

WHEN DO SIGN-UPS CLOSE?
Guests can purchase a party spot past the Tasting & Auction event closing at 6pm, if the party did not sell out.

CAN I SIGN UP MY FRIENDS?
Yes, you can absolutely buy multiple spots for yourself and your friends and have your friends reimburse you! Guests who purchase must be registered and will be charged for each spot they purchase.

HOW WILL THE HOSTS KNOW IF I BOUGHT A TICKET?
Guests who purchase a party spot will be contacted by the host. Party hosts will contact their guests with specific party details, usually 2-4 weeks prior to their event. If a guest does not receive an email or invite by this time, please contact funwithfriends@willowglenfoundation.org.

WHAT IF I PURCHASE DURING THE WEEK AFTER THE AUCTION?
You can "checkout" and pay by viewing your cart and submitting payment by Friday November 22@ 5pm. If you haven't paid by then, we will charge your credit card on file.

The Event

WHERE DO I PARK?
There is limited parking available at the Willow Glen Branch Library, if you’ve been there, you know it’s a small parking lot. We recommend street parking in the neighborhood or parking nearby in the Willow Glen downtown area.

Since this is a wine/beer tasting event there will be a lot of alcohol flowing. Our best suggestion for locals is to walk, get dropped off, or take an Uber/Lyft. This is a great chance to model appropriate behavior to your driving-age teen by asking them to be your designated driver!

WHAT DO I NEED TO BRING?
When you purchased your tickets, you were sent a QR code. Show this QR code at CheckIn for fastest service, and be sure that any extra tickets have been transferred to guests and that you have a payment method on file for the silent auction.

HOW DOES THE TASTING WORK?
Visit each of the wine and beer vendors during our event to try their products! If they have brought products to sell, you’re welcome to purchase them on-site. There will be delicious food available, from passed appetizers to platters of snackables. Your only job is to taste the delicious food and drinks, and consider bidding for fun items in our silent auction.

WOW THESE WINE AND BEER GLASSES ARE COOL, CAN I KEEP THEM?
You bet! Each attendee will be sent home with one collectible keepsake wine glass and/or beer glass as a small token of thank you.

About The Fundraiser

In addition to being a fun community event, this event is a fundraiser! We are a nonprofit organization serving Willow Glen Middle School (WGMS) and Willow Glen High School (WGHS). We are a school-connected organization (SCO), similar to a PTA, but in our case, we are an independent nonprofit. We develop resources and fund programs that inspire, promote, and support the academic achievement as well as social and cultural enrichment of students at WGMS and WGHS.

We need funding to pay for the programs we support. Every year the needs of our two schools differ and we adapt to those needs. Here are some programs we have supported in the past year:

Middle School

  • Project Lead the Way Class materials, program membership, teacher training (impacting computer science, robotics, biomedical science classes)

  • Science specimens for dissection

  • 3D Printer for science programs

  • Poster printer for leadership class and other campus programs

  • Teacher grants for classroom needs

  • Teacher appreciation

  • Author visits coordinated with Hicklebee’s

  • Pi Day and Ice Cream Social

High School

  • Mock Trial program support, including tournament entry fees

  • 2 new cameras as well as digital and print publishing for student newspaper, “RamPages”

  • AP Environmental Science class vivarium supplies and equipment

  • College and career center support

  • Chicken feed/care for our famous flock, maintained for biology classes

  • Teacher grants for classroom needs

  • Teacher appreciation

  • Senior scholarships

  • Safety equipment not covered by the district

This is just a small sample of how we spend our funds each year. We need your help to fund programs our teachers put before us. Learn more on our funding page. Even if you can’t attend, you can still help us fundraise by participating in our silent auction by signing up for free online auction access or by making a monetary donation.
