Logistics

This virtual component confuses me. When should I run/walk my course?

Virtual events sure can be tricky! Our AIDS Walk + 5K Run will take place from Monday, May 17 through Sunday, May 23. You can select the day and time within that time frame that you run/walk your course. As your course(s) may be unfamiliar to you, we recommend that you run/walk in daylight hours. In addition, some routes are in locations that close at dusk. We are grateful to the various locations who partnered with us for this event. Please be respectful of their spaces while participating. (If you are unable to participate during the actual event week, you can run/walk the course later. You just won’t qualify for medals/prizes—but we’re all in this for the cause anyway, right?)

I noticed there are several different ways to register. What is that all about?

Unlike our traditional AIDS Walk + 5K Run at Spring Grove where you are only able to sign up for the one course on site, with our virtual experience, you will have the option to sign up for one course, two courses, four courses or all seven courses. If you sign up for the latter, in addition to the claim to fame that you ran all seven of our mystery courses and completed a 5K a day—you will also receive an unique participation gift in addition to your event t-shirt and swag bag.

Do I get more than one t-shirt if I sign up for more than one course?

Although you won’t get more than one t-shirt for registering for two, four or seven courses, you will have the ability to choose your t-shirt color from the mystery routes assigned to you, so that’s something!

I’ve registered. When will I receive information about my route(s)?

Thank you for signing up for Caracole’s AIDS Walk + 5K Run: Mystery Edition already—we appreciate your support! We will review your registration and select the perfect mystery course(s) for you! Your course will be revealed in your racing packet, which you will receive the week prior to our event either via USPS or in-person pickup at Caracole’s Northside office depending on what you selected during registration.

I’ve selected my packet to be shipped to me. When can I expect it?

We intend to send out racing packets the week prior to our event. If you have not received your packet by Friday, May 14, please reach out to Megan Green at mgreen@caracole.org and we will ensure you get your packet before race week.

I will be picking up my packet for this year’s event. Can you give me more details?

Absolutely! You will be able to pick up your racing packet beginning on Wednesday, May 12. An email with more specifics will be sent to you as we get closer to the event. Racing packets can be picked up at our Northside office location at 4138 Hamilton Avenue, Cincinnati, OH 45223. The building can be accessed via the door off our of the parking lot on Knowlton Street. Please wear a mask and practice social distancing when visiting our office.

I would like to run/walk with others for the event. How does this work with the mystery component?

We’re glad you asked! If you plan to run with other individuals who are completing their own registrations, there will be an opportunity during the registration process to share their names with us. Caracole will then aggregate your answers together to find the perfect course(s) for your group. We just ask that your crew consist of four (4) individuals or less and that you keep social distancing in mind outside of your quarantine bubble.

I would like to sign up my family to participate. Do we all have to take the registration quiz?

Your family members are welcome to sign up individually and take the quiz—it’s a lot of fun! We can then aggregate your answers together to find the perfect mystery route(s) for you to participate in together. However, you are also able to sign up your group at one time and take one quiz. You will simply need to add your family members as registrants to your primary registration.

Safety

What precautions are in place for this event?

Your safety and health is of the upmost importance to us. For this reason, all event logistics have been decided with this in mind. We have extended this event to take place over the course of an entire week. We hope that staggered participation will help to minimize any interaction with other runners/walkers. Please take all appropriate COVID-19 precautions during your run/walk. If you happen to see other Caracole supporters during your run/walk, please say hello—from a distance of at least six feet!

What should I do if I need help on my route?

We hope that the only support you will need on your run is some arch inserts for your sneakers! However, if you experience an emergency on your route, please call 911. Caracole will not have any staff or volunteers at the routes. Routes that have several turns will have directional signs available along the course to indicate those turns. If you get lost on your route, please revisit the map provided in your packet and via email.

Donations

Where should I mail a donation check?

You can quickly donate online via this website. However, if you would prefer to mail a check, address it to Caracole and mail it to 4138 Hamilton Avenue, Cincinnati, OH 45223. Checks can be made payable to Caracole. Once we receive your donation, we will send you an acknowledgement letter of your gift.

What happens if I check the checkbox to “cover progressing fees”?

If you select “Cover Progressing Fees,” you are agreeing to pay the established registration price along with the fees associated with our fundraising website. By clicking this button, you are ensuring that your total registration cost is going to Caracole and helping to support those living with HIV/AIDS in our community—thank you!

Are donations tax-deductible?

Yes! All donations are tax-deductible. You will receive an automated emailed receipt for your tax records. An additional letter will be mailed to you after the event.

Are registrations tax-deductible?

A portion of your registration is tax-deductible. An acknowledgement letter will be mailed to you after the event indicating the portion of your registration that is tax-deductible.
